Promoting Your Tour

Promoting the trip is crucial and should be an ongoing process. The more people who know about the trip, the easier & more likely that you’ll be able to succeed! Here are a few pointers.

Make a promotion schedule

Weather it is your first time organizing a group of you have been at it for a while, you will always need to get people to register on time. Therefore it is important to make sure that the intended participants are aware of your project well in advance (at least 5-6 months or more), especially if they have to budget for it, organize fundraisers and plan vacation time with their employer.

  • Create a list of potential participants (friends, family & community members) and collect their e-mails & phone numbers.
  • Include trip information in the local paper, newsletters, your social medias, bulletin boards or in upcoming community meetings.
  • Repeat, repeat, repeat! Expect that people may not have heard of it the first time around.

Get your participants involved

  • Depending on your group’s interests, have them do a project on a particular activity or city from the itinerary and present it at an upcoming meeting.  Music, food and drinks or a slideshow or video can definitely put people in the right frame of mind.
  • Suggest reading material or do a workshop on famous artists and architecture, organize a group dinner at an ethnic restaurant, share recipes… Make your project an event in itself.
  • Use your participants as messengers! Get them to spread the word amongst their families & fellow friends of your upcoming trip!
  • Share a personal story that will help your participants relate to travelling on your trip and the long-term positive impact a trip can have.
  • Have a participant from a previous trip come and speak to potential participants about their experience. Why not invite them to your information meeting?

Have a clear registration process

You may already know who your participants will be, but in many cases you will deal with people that are unfamiliar to you.

  • When hosting an event or communicating with a potential participant, make sure to take down their contact information such as a phone number or email to follow up. Ask them permission to send them newsletters and promotional emails, it is the law.
  • Communicate all important information such as registration deadlines and if there is a limit to the number of participants in the tour.
